Administrative Assistant

An articulate full-time administrative assistant to help our growing company with a wide range of administrative tasks contributing to the operating efficiency of our office. This position is under the supervision of senior management and will involve interfacing with the entire company including the executives. The ideal candidate will be polished, professional and experienced; resumes should include a cover letter to demonstrate their attention to detail and level of abilities; those without a cover letter will not be considered. Priority will be given to candidates with a proficiency in Microsoft Office.


Core responsibilities include:

Data entry into existing platforms such Microsoft Outlook, Word, Excel, PowerPoint and Dynamics.
Manage multiple calendars and schedules for busy executives.
Perform general administrative, clerical and other office functions such as preparing correspondence, copying, printing, scanning, filing and faxing.
Assist in marketing efforts, press releases, reports, etc.
Maintain electronic and hard copy filing system.
Maintain office supplies/inventories and coordinate the maintenance of office equipment.
Sort and distribute incoming mail; prepare outgoing mail/FedEx.
Oversee maintenance of office space in coordination with building staff.

Qualifications:

This position requires a minimum of a high school diploma, GED or demonstratively equivalent professional knowledge and/or work experience in an office setting. Some college or associates degree preferred.
Intermediate skills in Microsoft Outlook, Word, Excel and PowerPoint are preferred for this position. Familiarity with Microsoft Dynamics CRM is a plus although not required.
Candidates must be articulate and detail-oriented with ability to communicate efficiently and effectively to all levels of management and clients.
Proficiency with computers, including typing, is essential.
Ability to prioritize/manage multiple tasks and work well independently, be organized and a self-starter is a must.
Experience in the mortgage industry or a general finance background is a plus but not a requirement.
Ability to work M-F 9am-5pm from our office located in NJ, five minutes from the George Washington Bridge.
